Getting started with the media library

In this tutorial, you will find an image in the library, open its preview and details, and download it in a web-friendly format.

Prerequisites: permission to view at least one library workspace. If you cannot see Media in the menu, ask your administrator for permission before you start.

1. Open the library

  1. In the top menu, select Media.
  2. In the sidebar, under Workspaces, click All media.

You can see all the media you have access to. The number next to All media shows how many there are.

2. Find an image

  1. In the Search box, enter a word from the title, such as a product name.
  2. Click the magnifying glass icon to run the search.

The list shows only media that match your search. The source is shown below each image: File for uploaded files, or YouTube or Vimeo for videos.

3. Open the preview

  1. On an image card, click the three-dot button.
  2. Select Preview.

The preview opens, with the full-size image on the left and options to download it and copy its link on the right. Click Close to close the preview.

4. Open the media details

  1. Click the image.

The media details open. At the top, you will find a summary:

  • Workspaces: the workspaces the media belongs to, highlighted;
  • Workflow: the approval status;
  • Collections: the collections containing the media;
  • Used by: the products and other records that use the media.

5. Download the image in a web-friendly format

  1. Click the Download icon at the top right.
  2. If a menu appears, select one of the download formats below Original. The file type and size are shown for each format.

Your browser downloads the image in the selected format. If no menu appears, your administrator has not configured any download formats, and the original file is downloaded.
