Workspaces that require approval
A workspace can require a media asset to have completed a workflow before it can enter. This ensures that an area, such as one for media published to channels, receives only checked images.
How the requirement works
The administrator specifies one or more workflows: a media asset can enter the workspace only if it has completed at least one of them. The check applies only on entry: media can always leave a workspace.
The requirement applies however a media asset enters the workspace: assignment from the media asset's details page, upload through a media attribute, or delivery to a product from a shooting. It also applies to users with permission to access all workspaces.
On the media asset's details page, any workspace the asset cannot yet enter is disabled. Hover over the workspace to see the required workflows. When you start a workflow for a media asset, openlane shows which workspaces that workflow will allow the asset to enter.
Media without a workflow
Some media assets never go through a workflow, such as those uploaded directly from a product's details page. To avoid blocking them, the administrator can configure a workspace with requirements to also accept media without any workflow. A media asset that has been through workflows, but none of the required ones, is still excluded.
New versions
You cannot replace a media asset that belongs to a workspace with requirements from its details page, because the new file has not been checked. You deliver the new version through a shooting, which takes it through the required workflow.
Special workspaces
The incoming workspace and the archive workspace cannot have requirements: the first must accept all uploaded files, and the second all media to be retained.
