AI usage and the annual allowance

This page is intended for administrators: the operations described require access to the administration area.

Whenever a user or a data flow uses an openlane AI function, for example to translate, generate or optimise text, a call to the AI service is recorded. The AI Usage page shows how many calls have been made and how many remain within your contractual allowance.

Function groups

Calls are organised into groups. Each group includes a set of AI services, listed below the group name, and can have its own allowance. For each year, the group shows:

  • a monthly chart of calls, with successful calls in green and failed calls in red;
  • a table with one row per service, showing successful calls under Success, failed calls under Error and the service's share of the group's successful calls under % of total. Click a row to open the monthly chart for that service.

The allowance

A group's allowance is defined in the contract by two values:

  • Contract start, the contract start date;
  • Max calls/year, the maximum number of calls per year.

These values determine the allowance for each year, shown under Yearly allowance. In the year the contract starts, the allowance is prorated to reflect the portion of the year covered by the contract: an icon next to Yearly allowance indicates this.

Value Meaning
Used (success) Successful calls during the year. Only these count towards the allowance
Remaining Calls still available for the year. Shown in red if the allowance has been exceeded
Errors Failed calls. These do not count towards the allowance

If no allowance is set for a year, the group shows No quota configured for this year and only the totals for successful and failed calls.

Allowance values are set in your contract: to change them, contact your openlane representative. For instructions on using the page, see How to monitor AI usage.
