Prepare the library for a new team
This page is for administrators: the steps described require access to the administration area.
In this tutorial, you create a workspace for a new team, give a team member permission to work in it and check what they can see.
Prerequisites: access to the Media workspaces and Users administration areas, and an existing user account for a team member.
1. Create the workspace
- Select Admin from the menu.
- In the DAM group, select Media workspaces.
- Click New workspace.
- In Key, enter a short code, for example "MKT". You cannot change this code later.
- In Name, enter the name users will see, for example "Marketing".
- Leave the Incoming, Archive and Public (CDN may serve unsigned) checkboxes unticked.
- Click Save.
The workspace appears in the list.
2. Assign permissions to a team member
- Select Admin from the menu, then Users.
- Open the user account.
- In the DAM Permissions section, in the row for the new workspace:
- select View & download;
- under Edit, select All - My Uploads;
- under Delete, select Not Approved.
- Click Save.
With these permissions, the user can view all media in the workspace, edit media they uploaded and delete only media that has not yet been approved.
3. Check what the user can see
- Ask the user to sign out of openlane and sign back in.
- Ask the user to open Media.
In the sidebar, under Workspaces, the user sees "Marketing" with its media count. Workspaces they do not have permission to access are not shown.
Result
The team has its own area in the library, with permissions suited to its work. To choose the right levels for each role, see Media library permissions.
