How to create a user
This page is for administrators: the steps described require access to the administration area.
Create a user, assign permissions and enable them to sign in. You need access to the Users administration area. The permissions model is described in How user permissions work.
Create the user
- From the menu, select Admin, then Users.
- Click Add new.
- Under General Info, fill in Email, First name and Last name. These fields are required; you cannot change the email address after saving.
- Set the permissions. These are described in User settings.
- Click Save.
The message User saved appears and the user is added to the Users list.
A new user has no brands enabled: until you select All Brands or specific brands under Enabled Brands for an entity type, all products of that entity type are read-only for the user. For instructions, see How to restrict a user to specific brands, channels and languages.
Signing in for the first time
When you create a user, openlane sends them an invitation email with a temporary password.
- The user opens openlane and signs in with their email address and temporary password under External user access.
- On the Change password page, they enter their chosen password in Password and Confirm password, then click Change password.
If the invitation has not arrived or the temporary password no longer works, the user clicks Forgot your password? on the sign-in page, enters their email address and clicks Send code: if they have never changed their temporary password, they receive the invitation again.
Resetting a forgotten password
- On the sign-in page, the user clicks Forgot your password?.
- They enter their email address and click Send code. They receive a code by email.
- On the Reset password page, they fill in Email, Code, Password and Confirm password, then click Reset password.
The message Your password has been changed appears. Passwords cannot be changed from within openlane: always use this procedure.
Edit a user
- In the Users list, use Search text to search for the user by first name or surname, or filter by group using Group.
- Click the Edit icon in the user's row.
- Change the first name, surname or permissions and click Save.
Changes apply immediately to the actions the user performs; buttons and menu items update when the user reloads the page.
Delete a user
You cannot deactivate a user, only delete them. Once deleted, the user can no longer sign in to openlane; any data they have modified remains.
- In the Users list, click the Delete icon in the user's row.
- Confirm the deletion.
The message User deleted appears.
